Job Entry

1. Create a new job

The only way to create a new job is by starting from the Company module.

  1. Open the Company module in the top menu.
  2. Navigate to the Job tab in the middle menu.
  3. Click the plus-icon.png plus icon located in the job header.
  4. Begin filling out the form with the job’s information (see job's information in Job Detail)

2. Job detail

  • Ref no: Automatically generated by the system; cannot be edited.
  • Job heading: The name or title of the job.
  • Company: The company associated with the job.
  • Contact: The contact person for the job. This field is auto-filled based on the company's default contact.
  • Start date: The date the job is scheduled to begin.
  • Finish date: The expected completion date of the job.
  • Job type: The type of the job.
  • Status: The current status of the job.
  • Email: The email address for the job, auto-filled from the selected contact.
  • Company phone: Auto-filled based on the selected company’s phone number.
  • Direct phone: The contact’s direct line, auto-filled from the selected contact.
  • Mobile: The contact’s mobile number, auto-filled from the selected contact.
  • Fax: The company’s fax number, auto-filled from the selected company.
  • PO no: Enter the purchase order number. If it's not available yet, select To Come.

3. Back to the job

In each module, you can see the linked job. Clicking the link will quickly take you back to the associated job for easy access.


4. Job quotation

4.1. Create a new quotation

  1. Navigate to the Quotes tab in the middle menu.
  2. Click the plus-icon.png plus icon located in the quotes header.
  3. All details — including Company, Contact, Billing, Shipping, and Tax (based on the Shipping Address) — will be automatically filled according to the company setup.

4.2. Update quotation

  1. Open the Quotes tab in the middle menu
  2. Click the view-arrow-icon.png arrow icon to navigate to the quotation
  3. Update the information.

5. Job sales order

5.1. Create a new sales order

  1. Navigate to the Orders tab in the middle menu.
  2. Click the plus-icon.png plus icon located in the order header.
  3. All details — including Company, Contact, Billing, Shipping, and Tax (based on the Shipping Address) — will be automatically filled according to the company setup.

5.2. Update sales order

  1. Open the Orders tab in the middle menu
  2. Click the view-arrow-icon.png arrow icon to navigate to the sales order
  3. Update the information.

6. Job sales invoice

6.1. Create a new sales invoice

  • Navigate to the Invoices tab in the middle menu.
  • Click the plus-icon.png plus icon located in the order header.
  • All details — including Company, Contact, Billing, Shipping, and Tax (based on the Shipping Address) — will be automatically filled according to the company setup.

6.2. Update sales invoice

  1. Open the Invoices tab in the middle menu
  2. Click on the view-arrow-icon.png arrow icon to navigate to the sales invoice
  3. Update the information.

7. Job purchase order

7.1. Create a new purchase order

  1. Navigate to the Purchase Orders tab in the middle menu.
  2. Click the plus-icon.png plus icon located in the purchase order header.

All details — including Company, Contact, Payment terms, and Tax (based on the Shipping Address) — will be automatically filled according to the company setup.

7.2. Update purchase order

  1. Open the Purchase Orders tab in the middle menu.
  2. Click on the view-arrow-icon.png arrow icon to navigate to the purchase orders.
  3. Update the information.

This option allows you to unlink a purchase order from its associated job. The unlinked purchase order will remain in the system, but will no longer be connected to any job.

  1. Open the Purchase Orders tab in the middle menu.
  2. Click on the delete-icon.png delete icon in the row of the purchase order you want to unlink
  3. Select Yes to confirm the unlinking.
